Retreat Branding Case Study: Cavalo Calling Equine Retreats

Cavalo Calling was my first equine retreat branding and marketing contract. Gianna found The Retreat Marketer through AI search, seeking support in launching a retreat brand to channel her offerings of equine retreats, coaching and workshops for women.

We put together a simple, custom contract to bring that vision to life on a short timeline. The engagement began in late July and by September Cavalo Calling had a name, a voice, a visual identity and a home online at cavalocalling.com.

Here is how the brand came together, and what it can show any leader about building a retreat brand that feels as good as the experience itself.

Retreat Branding Begins With Strategy

A strong retreat brand grows from a clear sense of place in the wellness world, so we began with a deep discovery process. Together we defined what makes Cavalo Calling distinct: the pairing of horses and meditation, layered with movement, dance or art depending on the group, with purpose as the thread running through every offering.

That strategic foundation shaped every decision that followed, from the name to the color palette to the words on the registration page. When a retreat leader knows exactly who she serves and why, the brand has something true to stand on.

Naming a Retreat Brand and Finding Its Voice

Cavalo Calling was named during our work together, and its voice was shaped to sound like Gianna herself: grounded, unhurried and steady. The tagline, Equine Retreats & Workshops for Women, tells a woman in seconds what the experience is, while the brand promise invites her deeper: listen to your body, trust your spirit, come home to yourself.

All of this lives in a Brand Language document, which includes:

  • A mission statement

  • Five core messaging pillars

  • A business description in long, short and social forms

  • Language guidelines for every channel

For retreat leaders, this kind of document becomes a quiet companion. It keeps every caption, email and retreat page sounding like one person with one purpose, and it gives AI tools like Claude everything they need to write in the brand's voice.

Visual Identity

I loved working with the visuals for this brand. The horses and the open landscapes of the Eastern Sierras carry so much feeling on their own, and the visual identity was built to let that beauty lead.

We developed and approved a color palette and font pairing, then brought them together on a brand board so Gianna could see the whole identity at a glance. The fonts and colors were set up directly in her Squarespace account, so they carry through to her website, email campaigns and invoices without any extra effort.

The brand is ready to extend into future marketing too. For retreat leaders who design their own graphics, setting up a brand kit in Canva is a simple way to keep every social post and flyer consistent.

A Retreat Website Designed to Welcome Guests

The Cavalo Calling website went live with three focused pages: Home, Retreats and Contact. Keeping it simple lets the imagery and the invitation shine, while giving visitors a clear path for conversion, from first impression to registration.

The Retreats page holds every detail of Gianna's signature retreat, Wild Heart Calling, along with a registration link. When a guest registers, she receives an automated email with payment links, so the experience feels personal and seamless from the very first step.

Behind the scenes, the site includes structured data and optimized page descriptions to help it surface well in search and in AI-powered answers. These quiet technical details help the right women discover the retreat.

Email Marketing and Automations

A brand keeps speaking long after someone leaves the website, so we built that voice into Gianna's email system. A branded email template and a welcome automation now greet every new subscriber right away, in words that already sound like Cavalo Calling.

For retreat registration, I set up an automation along with two payment options: a deposit with final payment, and a deposit with a payment plan. Installment invoices and a pay link round it out, giving guests flexibility and giving Gianna more time to focus on her horses and the women she serves.

Retreat Marketing With Confidence

During our handover session, we walked through editing website pages, adding contacts, designing email campaigns from her templates, adjusting automations and sending invoices, so she can tend her brand with ease.

Every file from the engagement, including her Brand Language, marketing strategy, color and font specs and keyword research, lives together in one shared folder. Gianna also received a set of marketing suggestions to guide her next steps, from refreshing her Instagram to building community on Facebook and creating fresh content for her website as she prepares to launch her first retreat.

Retreat Branding FAQ

How long does it take to brand a new retreat?

Timelines vary with scope. Cavalo Calling's full brand and website engagement, from discovery through handover, took about seven weeks.

A strong foundation includes positioning strategy, a name and tagline, brand language with messaging pillars, a color palette and fonts, a website with clear registration, and email templates that carry the voice forward.A strong foundation includes positioning strategy, a name and tagline, brand language with messaging pillars, a color palette and fonts, a website with clear registration, and email templates that carry the voice forward.

Yes. Squarespace can hold a retreat's website, registration, payments, email campaigns and automations in one place, which keeps the brand consistent and easy for the retreat leader to manage.

Retreat branding is the strategy, name, voice, visual identity and online presence that express what a retreat offers and who it is for. A cohesive retreat brand helps the right guests recognize themselves in your work and feel ready to say yes.

A Brand With Purpose

Cavalo Calling now has a name, a voice, a color palette and a home online that all point toward the same purpose: helping women find their way back to themselves alongside horses.
